Introduction to the Kaizen module
The Kaizen and submissions module provides access to application features that allow reporting issues, suggestions, and ideas related to the organization. What is Kaizen?
Kaizen is one of the modern management concepts. In Japanese, it means continuous improvement of performed work and refers both to company management and regular employees. Thanks to the Kaizen module, company employees can submit their ideas and suggestions for improving work organization, which contributes to increased efficiency and service quality.
Kaizen in the Pulse mobile app
This solution has been implemented in the Action Audit system in the form of the Kaizen module, which, combined with the Pulse mobile app, allows quick and easy reporting of problems and suggestions, as well as proper review and management of them. How the Kaizen module works
The Kaizen module allows users to report problems, suggestions, and ideas related to work organization. This can be done via the system in a web browser or the Pulse mobile app. Submissions are entered into the system and then evaluated and classified by the appropriate people in the organization. Once a submission is approved, an action plan is created to implement the idea or solve the problem. This module supports continuous improvement of processes and work organization.
Submission templates
Submission templates determine what the submission concerns and how it will be handled within the organization. The types of templates are as follows:
- Quick Kaizen idea – a general idea or suggestion for improving the organization of work
- Near miss event – a submission regarding a situation that could have led to an accident or incident at work but did not occur; the goal is to analyze the situation and prevent similar events in the future
- Risk – a submission related to identifying and assessing risks in the organization that may impact safety or work efficiency
- General submission – a general submission about work organization that does not fit other categories
Submission templates define the categories. Users fill in appropriate fields within templates. By default, no templates are available. To add one, you must contact the system administrator at Ruby Logic.
Templates determine the following elements that will appear in the submission form:
- Category – defines what category the submission belongs to
- Responsible persons – individuals responsible for handling the submission, including those accountable for the entire submission, reviewers evaluating its validity, or the owner of the activity plan created upon approval
- Rating scale
- Fields required during submission input

To use the Kaizen and submissions module, the user must have the appropriate permissions.
