Audits
In the Audits section, the user has access to all audits that are visible to them.
Audit list
Audits are available in three different tabs:
- My audits – all audits where the user is assigned as the auditor
- Open – all audits visible to the user that have not yet been completed. These include not only audits where the user is the auditor, but also audits where the user is assigned as the owner of the corrective action plan, responsible for corrective activities, or the audit area leader.
- All – all audits visible to the user, both ongoing and completed
To easily find the desired audit, use the magnifying glass icon in the top right corner of the screen.
Each tile in the list view represents a single audit. You can read the following information from it:
- Auditor – the name of the auditor is displayed in a blue field with a person icon
- Audit number – e.g., AU-0859
- Audit title – displayed in the center of the tile
- Planned audit date – shown in the bottom left corner of the tile
- Audit status – this is shown in the bottom right corner and can be:
- Start – means the audit is ready to be performed and has not been started yet. The label may be green (the deadline has not passed) or orange (the deadline has passed and the audit is overdue)
- Continue – the audit has been started but not completed
- audit compliance expressed as a percentage – the audit has been completed with a given compliance result
To open an audit activity, tap the appropriate tile.
Audit
Start screen
When opening a specific audit, the audit start screen will be displayed:
This screen displays detailed information and a time bar showing the duration between the audit’s creation date and its planned completion date.
Audit settings
To access audit settings, tap the three-dot icon in the top right corner of the start screen. The following settings will appear:
- Latest audit results – if an audit was previously performed in this audit area, this option allows viewing the results of the previous audit activity
- Mark as unexecuted – allows marking the audit as unexecuted
Latest audit results
If an audit has already been performed in a given audit area, it is possible to view the results of the previous audit. You can access this either via audit settings or by tapping the Latest audit results button at the bottom of the screen.
Performing the audit
To begin the audit, tap the Start or Perform audit button, depending on whether the audit has already been started.
If the user is not the auditor but can see the audit, the option to start it will not be available. Instead, a Show more button will be shown to allow viewing the list of questions without the ability to answer them.
Once the audit is started, a screen will appear showing the audit details in the header and a list of audit questions. The header includes a More options button, which opens the following screen:
This screen includes:
- Remarks – a field for the auditor to enter relevant notes
- Tags – a field for labels assigned to the audit. You can also add new tags here
Below is the list of audit questions:
To answer a given audit question, select the appropriate option from the assigned rating scale.
If a negative answer is selected, it is required to describe the detected nonconformity in detail and assign a person responsible for the corrective activity. A photo can also be added—this is mandatory for checklists that require a photo.
If the detected nonconformity requires a more detailed description or if answers need to be cleared, use the three-dot icon next to the question. This icon opens the question settings, where these options are available.
If the recommendation option is selected, a relevant input field will be displayed.
AI auditor
If the organization has enabled the AI Auditor support option, before answering a question, it is possible to use the AI auditor by tapping the yellow button with a microchip icon. A screen will appear allowing you to take or select a photo:
After selecting or taking a photo, the AI Auditor will begin processing:
Once the image is processed, the AI Auditor will automatically provide an answer to the question based on the attached photo. If a nonconformity is detected, it will be described in detail. If no issues are found, a positive answer will be provided:
All answers provided by the AI Auditor can be edited.
Finishing the audit
Once all questions have been answered, the audit activity is completed. A screen will appear allowing the user to return to the audit list and view actions requiring attention (e.g., unfinished activities or pending audits). The screen looks like this:
Adding a new audit or audit area standard
Users with admin or audit manager roles have the option to add an audit standard in the Pulse app or create an ad-hoc audit. The latter option is also available to users with the auditor role.
To do this, tap the blue plus icon in the bottom right corner of the audit list view.
