How to customize Action Audit to your organization's needs using global parameters

Global parameters are a powerful tool that allows the system, designed to be universal and support audit processes across various industries, to behave according to your organization's requirements.

What are global parameters?

Global parameters are designed to customize Action Audit to your organization's specifics by enabling the extension of forms and reports with additional information fields that are not available in the system by default.

Here are a few examples:

  • Second Auditor as an additional parameter during any audit,
  • Part Number as an additional parameter during a quality audit,
  • Project Budget as an additional parameter in an action plan for project implementation,
  • Expiration Date as an additional parameter for action plans or audits,
  • Root Cause as an additional parameter when reporting a risk.

As can be inferred from the examples above, global parameters are not limited to audits only – they can be defined for each of the following information types:

  • Action Plan (general, post-audit, submission implementation)
  • Audit (any type)
  • Submission (Quick Kaizen, Near Miss, Risk)

Furthermore, global parameter values are automatically transferred from audits to action plans and from submissions to action plans, making grouping and searching for information extremely user-friendly.

Currently (Q4 2025), we support the following types of global parameter values:

  • Text, e.g., Customer Representative Name
  • Number, e.g., Budget
  • Date, e.g., Last Measurement Date
  • Dictionary – a value from a predefined collection, e.g., Customer
  • User – a relation to the users table, e.g., Second Auditor
  • Employee – a relation to the employees table, e.g., Audited Operator
  • Organizational Unit – a relation to the organizational units table, e.g., Notify Department Personnel

How to manage global parameters?

The global parameters management panel is accessible via the Settings link in the lower part of the left menu – if you don't see it, it means you don't have sufficient permissions and need to contact the local administrator designated by your organization.

You can define up to 15 global parameters of 7 data types (described above), and then you can specify their visibility in individual modules:

  • Unavailable – the parameter will not be displayed
  • Available – the parameter is visible and optional
  • Suggested – the parameter is visible, and an appropriate prompt will appear when attempting to save without filling it in

Additionally, for the audits module and submissions module, you can further specify whether the visibility applies to the entire module or only to one specific type of audit or submission.


Dictionary parameter type – how to configure it?

The Dictionary type is particularly useful when you want to limit possible values to a predefined list. This helps you avoid typos and data inconsistencies.

Adding values to a dictionary is simple and takes effect immediately:

  1. Click the blue book icon next to the dictionary parameter name
  2. A list of currently available values will be displayed
  3. Click the green New button at the top of the screen
  4. Enter the name of the new value
  5. Confirm with the Create button

After saving, the new value will be available for selection in all places where the parameter is visible.

After configuring global parameters, don't forget to click the green Update button. Only then will the changes be saved and the parameters will be visible in the appropriate modules.


Summary

Global parameters are a key feature of Action Audit that allows you to customize the system to your organization's individual needs. With them, you can:

  • extend audit forms, action plans, and submissions with additional fields,
  • use 7 different data types (text, number, date, dictionary, user, employee, organizational unit),
  • automatically transfer values between modules,
  • control parameter visibility depending on the audit or submission type.

Remember that you can define up to 15 global parameters, which provides great flexibility in modeling audit processes according to your industry's requirements.
