Easier mobile app login

There are 3 ways to log in to the mobile app, as we described in January. However, a problem arises when employees don't have company email accounts or phones, and the organization doesn't have consent to entrust data to an external company, i.e. us. In such cases, a workaround was used involving creating non-existent phone numbers starting with 555 and verbally communicating activation codes to employees. This naturally caused many complications.
The new feature allows creating phone-based access without inventing non-existent numbers, and instead of communicating an activation code, the employee scans a QR code on the screen of the person managing access.

The new feature is especially important for organizations that want to engage their entire team in submitting innovative ideas, risk information, or potential accident event reports.

Multi-select filter for short dictionaries

For parameters that accept values from a short selection list (fewer than 10 items) and for which a dropdown filter was previously available, a new filter type has been introduced allowing the selection of more than one value. The new filter type has been introduced for:
  • Audit list -> parameters: Status and Layer
  • Action list -> parameters: Stage and Qualification
  • Administration -> Users -> parameters: Status and Role

Audit area tags

A new parameter - Tags - has appeared on the audit area edit form. Entered tags will be automatically copied to each created audit, which will improve filtering and categorization of audits, as well as their associated corrective action plans.

PDF file preview

A tool for previewing PDF attachments without the need to download them to disk has been added to both the web platform and the mobile app.

From now on, searching for Action Plan Pulse on the App Store or Google Play will no longer show the well-known Pulse app, because as part of ensuring brand consistency, we have unified the names of all Action Audit system components.

Three extremely important features extending audit form capabilities

All the features described below were suggested to us by system users because that's how Action Audit works - we actively listen to your suggestions and every one that can improve system usability is implemented.
  • Adding questions outside the checklist during an audit,
  • Optional Second Auditor drawing
  • Launching action template handling during an audit
[1] Adding questions outside the checklist: A new toggle Adding questions during audit has appeared on the audit area edit form. When enabled, the auditor can add questions that are not on the list and provide answers during the audit.
[2] Second Auditor Drawing This feature available in the schedule allows activating the drawing of a second person to conduct the audit. Moreover, the second auditor can serve only as an observer (view-only permissions), but can also conduct the audit on behalf of the main auditor (full permissions).
[3] Launching action template handling during an audit: This is an extremely advanced feature that allows connecting two Action Audit modules that previously operated independently - the Audits module and the Submissions module. Everything starts on the checklist edit form, where the person administering the audit module can specify the non-compliance or suggestion handling path based on one of the templates: innovative idea assessment, risk qualification, potential accident event report handling, and action execution according to the action plan template.

AI Auditor Mode Switch

When using the AI Auditor, the auditor can decide whether to get a quick answer or enable reasoning and wait longer for more insightful results.
The feature is also available when obtaining corrective action suggestions both in the Pulse app and on the Web Platform.

Optimization of organizational structure management

As part of organizational structure management, the library responsible for rendering the structure tree has been replaced. On this occasion, a new and much-needed feature was also added - deleting an organizational unit with designation of a successor unit to which all dependent objects will be reassigned. The new feature allows for easier management of the organizational structure.

More weekly and monthly frequencies

Previously, when defining weekly or monthly schedules, users only had selected multiples available, which made it impossible to schedule audits e.g. every 7 or every 11 weeks. This change removes that limitation.

Non-photo and non-video attachments

The mobile application now allows attaching files other than photos and videos, including PDF, XLS, XLSX, DOC, and DOCX. The feature is available in all places that allow attachment uploads, i.e. in the modules: audits, reports, action plans, and actions.

We improved the process of adding new audits. The "New audit" link is now visible only for the following roles: Auditor, Audit Manager, and Administrator. The form can be accessed without going through the report view, and the number of fields has been reduced to simplify the process.

Comments to Audit Answer

Non-Compliance Handling – New Rating Scale Parameter

Action Audit works in such a way that if at least one non-compliance is identified during an audit, a corrective action plan is automatically triggered. This change introduces the ability to define whether a given response determines the creation of a post-audit action: Yes, No – default setting for 100% compliance, or Auditor's decision. In the last case, the person conducting the audit may, but does not have to, trigger a post-audit action.

Introduction of a Second Compliance Threshold

Previously, the only threshold defining the audit compliance result for an area has been split into two thresholds: Positive result from [%] and Acceptable result from [%]. Additionally, the user can select a color associated with the achieved audit result: positive, acceptable, and negative.

Action completion macro with option to enter solution and add attachments

An action can now be quickly completed by clicking the "Complete" button or moving the slider to 100%. This opens a window allowing you to enter a solution and add attachments. Moving the slider will not open the window if a solution is not required or has already been provided earlier.

Competence centers

Competence centers extend user permissions beyond their native organizational structure. They allow assigning roles to users or groups in the context of selected organizational units without assigning them directly to those units. Each center is linked to a specific organizational unit.
Thanks to this, for example, a person from the quality department can perform the role of Audit Manager at the level of the entire plant.

Improved table functionality in the audit report and schedule
